Responsibilities:
Administrative Assistant II responsibilities include, but are not limited to the following:

  • Utilize Excel, Word, and Outlook for spreadsheet and document tasks
  • Manage project-related files and expenses
  • Coordinate proposals and new projects
  • Handle telephone communication professionally
  • Greet and accommodate clients and vendors
  • Organize and distribute incoming correspondence
  • Type and mail out correspondence, including transmittal forms
  • Coordinate office maintenance and supplies
  • Prepare packages/labels for shipping services
  • Manage kitchen area supplies and perform light cleaning
  • Ensure conference rooms are neat and presentable
  • Assemble and ship packages to the main office on schedule
  • Maintain contact list in Outlook
  • Conduct internet research as needed
  • Assemble accounting and human resource items for the main office
  • Distribute petty cash
  • Assist in overseeing administrative staff
  • Operate a vehicle for errands to government departments, client offices, etc.
  • Enter accounts payable and accounts receivable
  • Prepare deposit slips
  • Assist with billing reviews and invoice preparation
  • Support bi-weekly payroll processes
  • Assist with month-end financial reporting and bank reconciliations 
 
 
 
Qualifications:
  • 1 to 3 year of work experience in a clerical / secretarial / administrative position
  • Associates 's degree in Business Administration or related field
  • Advanced knowledge of MS Office (including Word, Excel, OneNote, Project and Outlook)
  • Experience in engineering, construction, real estate, or legal office work is preferred
